| THE COMPANY Our client was formed in 1974 and is a £42million company who have built a superb reputation which has made them one of the leading companies in their field within the UK. They manage maintain and develop successful business offering complete mechanical and electrical services support for their Clients, which through their obsession with service, standards, professionalism and value, is guaranteed to exceed all expectations. The company trade in a number of areas with project values ranging from £5,000 to £6.5 million. Their specialist fields are Air Conditioning Ventilation Systems Pipe-work Services Electrical Services Control & Operations The company has offices in Southampton, Slough, Ringwood & Salisbury. PERSONAL PACKAGE Package starts from £40k basic up to £55k basic dependant on experience Bonus up to 25% of basic salary, based on performance of the company Company car or allowance and all usual benefits ROLE AND RESPONSIBILITIES Relationships Responsible to: Managing Director and the Board of Directors of through the Managing Director Responsible for: Driving the management and operational aspects of the Company activities and accountable to the Managing Director for its profitability and performance. The primary focus being the welfare of our employees, their health and safety, Company sales, estimating, contracting, surveying, engineering execution and design, commercial activities, the establishment and achievement of targets and ensuring that the Company and Client needs are met or exceeded at all times. Main Duties · Lead the development of a successful commercial business through personal endeavour and action · Take full responsibility for all staff within your team and the activities they are assigned, overseeing career development, training and motivation. Primarily you will still oversee the mechanical services operations until a suitable manager is identified · Manage and pro-actively support all commercial activities to ensure they reflect the requirements of the business. Implement the agreed Business Plan to achieve current and future agreed performance targets and minimise risk and exposure · Ensure that all activities are delivered to the agreed time, cost, service, specification and presentation · Continually identify quality and business improvements and ensure these are integrated into the future activities · Ensure that existing customers and potential new customers genuinely receive a quality focussed service and product · Utilise existing systems to maintain existing customers and develop new client · Assist with the development of a systematic Sales Plan which will achieve the quotation and sales targets in the area of our business you have been assigned, to achieve margins and capacities as detailed and agreed in the Company budget · · Receive and monitor daily/weekly progress reports from the Department Managers and Engineers · Establish workload schedule for the operational area of the business which you are responsible for which is to be updated and issued monthly to the Managing Director · Personal visits, sales development and negotiation · Keep and maintain full documentation to ensure that good business practices is achieved and that the Company's contractual and corporate responsibilities are discharged · Promote business development. Primarily end users and their professional teams, design organisations including consultants, surveyors, architects, preferred building contractors, project managers, property developers where there is a commercial commitment rather than multi-bid tender situations Initial Targets · Preferred project values to be £10,000 - £5,500,000 as dictated by Company budget capacities, capabilities and programme · Undertake speculative and creative sales visits each week and maintain full record of contact progress and project progress on the ACT! database and report monthly at management meetings and quarterly at Board meetings Sales · Manage and pro-actively support all sales activities to ensure they reflect the requirements of the business and implement the agreed Business Plan to achieve current and future agreed performance targets · Ensure that our monthly invoicing/applications for payment are in accordance with the Company budget and in line with the programme referred to under Main Duties Quotations · Achieve a minimum quotation level that will, when adjusted by your last year's conversion rate, meet or exceed the budget sales requirement · Ensure the estimating team is programmed to provide both the value and product mix that is outlined in the budget Orders · Ensure that the orders received and sales mix is achieved on a monthly basis and, if necessary, adjust sales activity to correct any shortfalls Staff/People Management · Pro-actively Lead · Act as role model · Lead change · Provide a drive for improvement · Exhibit appropriate behaviours: - Show support for individuals - Commitment to the success of The Company - Passion for customer service - Respect and trust - Show balance and consistency · Seek and act on feedback about personal styles and actions · Improve management and leadership as a result of feedback · Manage Individuals · Set goals and targets · Proactively manage individual performance day to day · Regular reviews of performance · Regular and appropriate praise and recognition of individuals · Regular and appropriate feedback · Deal with under performance issues immediately. Monitor and report at both management meeting and Board level · Manage the Team · Establish clear and concise plans for the team · Encourage contribution to plans and activities · Actively seek ideas for change and improvement · Involve team in producing plans · Plan and manage change effectively · Regular team meetings to review effectiveness of team · Resolve conflicts and tension · Regular reviews of progress against plan · Provide feedback of results of ideas · Seek opportunities to delegate, give responsibility and empower people · Manage Learning and Development including Personal Coaching · Develop plans for teams and individual learning needs · Action plans and ensure learning and development needs are met · Monitor and report progress to team and organisation · Evaluate impact of learning and development activities on individuals and teams · Take action to improve learning and development as result of evaluation · Take opportunities to personally coach individuals and the team · Action People Management Processes · Recruit and select in line with Company and legal requirements · Inductions · Manage probation · Learning and development plans and evaluations · Regular individual reviews · Attendance management · Disciplinary and grievances in conjunction with the Managing Director Sales/Works In · Assist in evaluation of tenders for potential risk and exposure · Prominent involvement in project launch/handover team · Read and apply the project specification and drawings · Review all warranty documents and commercial aspects in conjunction with the Commercial Manager, Managing Director and Financial Director · Assist the Managing Director with budget compilation and business forecasts · Sales enquiry generation will also be encouraged through our staff and activities · Update ACT! Sales Database Planning · Progress suppliers and sub-contractors as may be necessary · Oversee compilation of procurement schedules in conjunction with management team · Assist with compilation of contract programmes with clear objectives · Monitor the development of outline designs into working drawings, plant schedules, etc. Health and Safety · Ensure Building Fire Evacuation Plan is monitored · Personal protective equipment implementation · All health and safety laws and requirements/records are being kept and administer same, monthly checklists to be submitted for all contracts · Oversee the production of health and safety plan for all projects to include but not limited to, construction method statements, risk assessment guidelines and COSHH assessments etc. · Ensure the health and safety laws and requirements are adhered to whilst undertaking your duties and monitored accordingly Monitoring · In conjunction with the Contracts/Department Managers, Senior Contracts Engineer, Contracts Engineer and Quantity Surveyor produce monthly financial contract control reports for every project and report on Company performance to the Managing Director · In conjunction with the Managing Surveyor produce updated spreadsheet in preparation of the WIP meeting with the Financial Director · Meet Managing Director weekly to discuss sales, estimating, projects, progress and the overall business plan · Attend and ensure continuity of regular contract control management meetings with engineering teams (minimum monthly) · Ensure contract progress reports are compiled and updated by Department Managers and Contracts Engineers to issue to the client at site meetings · Ensure that quality and contract programmes are maintained weekly, by viewing copies of sawtooths through the programmes for all operational projects · Undertake WIP in conjunction with the Managing Director, Financial Director and Managing Surveyor · If necessary, produce adjudication documentation in conjunction with the Managing Surveyor · Monitor updated sales/visit schedule spreadsheet in preparation of the weekly sales meeting with the works in team · Update and issue programme of invoice values following monthly invoicing and applications for all contracts and sectors of the business and issue to the Managing Director Cost Recovery · Maintain detailed financial control of all operational sectors of the business · Ensure production of external and internal valuations/invoices in conjunction with the Managing Surveyor so as to maximise the values claimed · Manage monthly certifications from external companies to ensure full application is certified for payment, date for payment agreed and actual payment received as agreed · Support the final account production and negotiations throughout the project to settlement in conjunction with the Managing Surveyor · Oversee payment information to the Managing Director, Managing Surveyor and Group Credit Controller where necessary · Ensure all staff are fully aware of the spend values within the tender (by producing a buying plan), review this as the project progresses and at completion · Ensure all staff are aware throughout the project of their role and responsibility for the financial management and the focus on profitability · Oversee the recording of variations and correct documentation, forwarding weekly with cost breakdowns to the client in a non-contractual manner · Assist with enhancing and controlling the presentation of variations from the site managers and engineers to maximise recoverable value · Control and manage debt recovery in conjunction with the Managing Director, Managing Surveyor and accounts department, ensuring 30/60/90 days debt is minimal and a positive cash flow is maintained · Ensure purchase/spend analysis is kept fully updated at all times · Check and create a joint sign-off of purchase invoices Sub Contractors · Monitor sub-contractor valuations/variations, in accordance with our monthly payment timetable · Oversee sub-contractor financial management · Obtain competitive quotes and assist in appointing major sub-contractors · Ensure sub-contractors accounts analysis are kept updated at all times · Monitor sub-contractor control meetings (to be held weekly), chaired by the Site Manager/Contracts Engineer · Ensure completion of sub-contract certifications and final account agreement in conjunction with the Managing Surveyor · Ensure cross-referencing of The Company's variations to sub-contractors variations and correct pricing is being completed by the contracts engineers and surveying department · Ensure all aspects of the Housing, Grants and Regeneration Act are adhered to with sub-contractors and/or customers ·
